Privacy Policy

SeniorCareHomes.Org LLC ("we," "us," or "our") operates a directory and matching platform that connects families, care seekers, and providers of licensed adult family homes across Washington State. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights under applicable law — including the Washington My Health MY Data Act (SB 1155), the Washington Consumer Protection Act (RCW 19.86), and Washington's data breach notification law (RCW 19.255).
By using SeniorCareHomes.org, you agree to the practices described here. If you do not agree, please do not use the platform.
1. Information We Collect
a. Care and health-related information
When you complete a care assessment or matching questionnaire, we collect information about the person seeking care, including: care type (memory care, personal care, mental health support, developmental disabilities), funding pathway (private pay, Medicaid, long-term care insurance), estimated budget, move-in timeline, location, and related care needs. This information may constitute consumer health data as defined under the Washington My Health MY Data Act and is handled accordingly (see Section 4).
b. Contact information
We collect your name, email address, and mobile phone number when you create an account, submit a care profile, sign up for vacancy alerts, or register as a provider. A mobile phone number capable of receiving SMS is required to use our platform.
c. Provider listing information
For adult family home operators, we collect business name, license number, address, capacity, accepted funding types, specialties, contact details, and any updates you provide to your listing. Much of this information is sourced from Washington State DSHS licensing records and is public.
d. Usage and technical data
We automatically collect pages visited, listing views, search queries, IP address, device type, browser, and referring URL. We use this to improve the platform and understand how people navigate care options. We do not use cross-site tracking or sell this data to advertisers.
2. How We Use Your Information
We use the information we collect to:
- Match care seekers with licensed adult family homes that fit their stated needs and funding pathway.
- Facilitate introductions between care seekers and providers or authorized third-party placement partners.
- Send functional SMS notifications related to your specific activity on the platform — including tour scheduling, availability confirmations, and outcome check-ins. We do not send marketing SMS to any user.
- Send periodic provider availability check-ins (no more than monthly) to help us maintain accurate listing data.
- Operate, maintain, and improve the platform.
- Comply with legal obligations under Washington State law.
We do not use your information for targeted advertising, behavioral profiling, or any purpose unrelated to your active use of the platform.
3. SMS Communications
Users may opt in to receive functional and transactional SMS messages from SeniorCareHomes.Org LLC by checking the SMS consent box during registration or inquiry. Providing your phone number and checking this box is voluntary and is not a condition of using our platform or receiving our services.
These messages may include:
- Senior care placement help.
- Appointment and tour coordination.
- Provider updates.
- Customer support.
We do not send promotional, marketing, or upsell messages via SMS. We do not contact you via SMS for any purpose unrelated to your specific activity on the platform.
Message frequency varies based on your activity. Message and data rates may apply. Reply STOP at any time to opt out or HELP for assistance. Wireless carriers are not liable for delayed or undelivered messages.
To opt out, reply STOP to any message, update your notification preferences in your account settings, or contact us at privacy@seniorcarehomes.org.
4. Consumer Health Data (Washington My Health MY Data Act)
Washington's My Health MY Data Act (effective 2024) broadly defines "consumer health data" to include information that identifies a person's health condition, physical or mental health history, disability status, or care needs. The care and assessment information you provide on SeniorCareHomes.org — including care type, medical history context, and funding pathway — may fall within this definition.
Consistent with the MHMD Act, we commit to the following:
- We do not sell consumer health data. We do not share it with advertisers, data brokers, or any party for commercial purposes outside of facilitating care placement.
- We share consumer health data only with authorized third-party placement partners who are contractually required to use it exclusively within our platform and for placement purposes only.
- You may request deletion of your consumer health data at any time (see Section 7).
- You may withdraw consent for collection of consumer health data at any time by contacting us. Withdrawal does not affect placements already completed.
5. How We Share Your Information
a. Third-party placement partners
For private pay placements, we work with licensed third-party placement agencies. When you are matched through such a partner, your care profile is shared with that agency through our platform. All placement partners are required by contract to:
- Use your information solely for the purpose of facilitating the placement you initiated.
- Keep your information within our platform — they may not export, copy, or migrate your data to their own systems.
- Comply with all applicable Washington State privacy laws.
Medicaid placements are free and involve no commission or placement partner referral.
b. Adult family home providers
When you express interest in or contact a specific home, your care profile and contact information are shared with that provider so they can respond to your inquiry.
c. Service providers
We use technology service providers (including SMS delivery, email, cloud hosting, and analytics services) who process data on our behalf under confidentiality obligations. These providers do not use your data for their own commercial purposes.
d. Legal requirements
We may disclose information if required by law, court order, or to protect the rights, property, or safety of SeniorCareHomes.org, our users, or the public.
e. What we never do
- We do not sell your personal information or consumer health data to any third party.
- We do not sell or share your mobile phone number or SMS opt-in data with third parties or affiliates for marketing or promotional purposes.
- We do not share your information with advertisers or data brokers.
- We do not use your information for targeted advertising or behavioral profiling.
- No personal information collected through SMS opt-in is used for purposes beyond those described in this policy.
6. Data Security
We implement industry-standard technical and organizational measures to protect your information, including encryption in transit (TLS), access controls, and secure cloud infrastructure hosted in the United States.
In the event of a data breach affecting Washington State residents, we will notify affected individuals and, where required, the Washington State Attorney General within the timeframes required by RCW 19.255. Notification will include the nature of the breach, the data affected, and steps we are taking to address it.
7. Your Privacy Rights
Under Washington State law, including the Washington Privacy Act and the My Health MY Data Act, you have the following rights:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request that we correct inaccurate personal information.
- Deletion: Request that we delete your personal information and care profile. Note that some information may be retained for legal compliance or dispute resolution purposes.
- Withdraw consent: For consumer health data, you may withdraw consent for collection and use at any time without penalty to services already rendered.
- Opt out of SMS: Reply STOP to any message or contact us directly.
- Data portability: Request a copy of your information in a commonly used format.
To exercise any of these rights, email us at privacy@seniorcarehomes.org with your name and the specific request. We will respond within 45 days. We do not charge a fee for exercising your rights and will not discriminate against you for doing so.
8. Data Retention
We retain your information for as long as your account is active or as needed to provide services. Care profile data associated with completed placements is retained for a reasonable period for legal and compliance purposes. You may request deletion of your account and associated data at any time.
9. Minors
SeniorCareHomes.org is not directed at children under 18. Accounts must be created by adults acting on behalf of a care recipient or on their own behalf as a care provider or seeker. We do not knowingly collect personal information from minors.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users of material changes via email or SMS. The effective date at the top of this page reflects the most recent revision. Continued use of the platform after changes constitutes acceptance of the updated policy.
